Introduction to Gizmos, Boards, and Reports in the Workshop

The Workshop area is where you manage your organization's Business Intelligence (BI) delivery needs. Initially, the Workshop area is a clean slate.

Use the Workshop area to create Boards, Gizmos, and Reports to get yourself organized.  

 

 

What is a Gizmo?

A Gizmo is an object that is used to group one or more Crystal Reports or SQL Server Reporting Services (SSRS) Reports. This group of reports will be automatically run together and delivered to one or more destinations such as email, FTP or a file system location. IntelliFront BI allows you to create the most basic Gizmo, with just a name, to the most advanced Gizmo with a combination of Crystal and SSRS Reports, multiple triggers, multiple destinations and even a Data-Driver. Its up to you!

On the Gizmo tab, you will see a card for each Gizmo that is not mapped to a Board.  You can search for a gizmo by name and can adjust the number of cards displayed on a page. 

A Gizmo card shows:

  • Gizmo Name
  • Action menu with options like Edit and Move to Board
  • Status from last run (Success  and Failure )
  • Last run time and duration
  • Next time to run as defined by the Trigger (if blank then there is no trigger defined for this gizmo)
  • Enabled/Disabled control (green is enabled, red is disabled)

What is a Board?  

A Board represents a group or category or even a project. One or more Gizmos are grouped together in a Board. Whether you are grouping Gizmos by business regions, organization departments or your customers, you can categorize them all inside Boards. To add an extra layer of organization, IntelliFront BI allows you to assign colors to your Boards.  For example, you can assign RED as the color for all the customer-related Boards and GREEN for all your internal departmental Boards. What is a Trigger?

A Gizmo’s Trigger determines when the Gizmo will be run automatically by IntelliFront BI. A trigger can be time-based (daily, weekly, monthly, annual or use a custom calendar) or it can be event-driven (database record exists, database record is modified, file exists etc). What is a Destination?

A Destination is where the reports in a Gizmo will be delivered to when the Gizmo is run. A destination can be email, FTP, SMS, Sharepoint, FAX, printer, etc. Learn more about creating a Destination...

What is a Data-Driver?

A Data-Driver for a Gizmo changes it into a dynamic object whose destinations or report parameters can be set using values from your ODBC compliant enterprise database. For example, by using a Data-Driven Gizmo, you can set the email addresses in your email destination to be populated by the email column from your database. What is a Report?

Two types of Reports can be defined in IntelliFront BI:  SSRS (SQL Server Reporting Services) Report and Crystal Report. One or more reports can be associated with a Gizmo.  Reports can also be stand-alone reports for users to run on demand. The stand-alone reports that a user can access are shown on the Reports tab of the Workshop area or on the Gallery page for users without Workshop access.

Search for Reports using the Search input field.  View a report using the action menu in upper, right corner of report card.
