Custom Calendars

Custom Calendars allow you to create your own scheduling frequency for those times when the scheduling frequency you require doesn't follow a normal pattern (i.e. daily, weekly, monthly, etc.).

To access Custom Calendars, navigate to the Home Tab on the CRD Ribbon. Then, select Custom Calendars.

Creating a Custom Calendar

To create a custom calendar in CRD, perform the following:

1. Click New.

2. Type in the name you wish to use for the new calendar. 

3. Then, from the calendar displayed, select the individual dates you wish the schedule to run. If you would like the schedule to run for a range of dates, simply click Add Range and select the start date and end date for the range from the calendar that appears.

Note: Selected dates will display in the calendar as bold text. If you incorrectly select a date, simply click it again to remove it from the selection.

4. Click OK to save and Exit the Calendar.

The calendar will now appear and be selectable from the Calendars column on the far left of the Custom Calendars screen.

 

Editing a Custom Calendar

To update or edit a Custom Calendar, click it from the list of available calendars on the far left of the window. Then, click Edit. This will bring up the Add/Edit Custom Calendar window (as pictured above). You can then change the dates you wish for schedules to run. Once you've completed your modifications, click OK.

Note: If you edit or modify a custom calendar that you currently have schedules in CRD using, you will need to click Update Schedules on the Add/Edit screen after selecting the new dates for this calendar. If you do not click Update Schedules, any schedules using this custom calendar will continue to run using the old dates.

Applying a Custom Calendar to a Schedule

To apply a custom calendar to a schedule, perform the following:

1. In CRD, right click the schedule you wish to apply the custom calendar to and select Properties.

2. Navigate to the Schedule tab and click Custom Calendar from the blue bar.

3. From the Calendar Name drop-down list, select the custom calendar you wish to apply to this schedule.

4. Click Apply then OK at the bottom of the Schedule Properties window.

This schedule will now run only on the dates you selected for this custom calendar.

Note: All schedules which use a custom calendar will be disabled when the last date of the current custom calendar is reached. If more dates are added to the calendar (and the Update Schedules button is clicked after editing), CRD will allow all schedules which use the affected calendar to be re-enabled.

 

Exception Calendars

Similar to using a Custom Calendar that tells CRD on which specific days to run a schedule, you can also use Custom Calendars to tell CRD on which days NOT to run a particular schedule. These are known as Exception Calendars. 

Exception Calendars are often used in instances such as when a user does not want CRD to execute schedules on holidays or during a specific span of time when they (or a report recipient) will be out of the office.

 

Creating an Exception Calendar

If you are creating an exception calendar for dates that are not holidays, simply follow the instructions for creating a custom calendar listed above.

To create an exception calendar specifically for holidays, perform the following:

1. On the Custom Calendar screen, click New.

2. On the Add/Edit Custom Calendar window which opens, locate the Holidays column and choose your country from the drop-down menu.

3. You will now see a list of all recognized holidays for the country you selected. Double click each of the holidays you wish to add to the exception list.

Note: The holidays you select will show up as dates in the Selected Dates column instead of names. This is because CRD will automatically calculate the date for that specific holiday.

4. If there are other dates you wish to add to this exception calendar, select them from the list. Then, click OK.

You should now see this custom calendar in the list of Calendars available to apply to a schedule.

 

Applying an Exception Calendar to a Schedule

To apply an exception calendar to a schedule, perform the following:

1. In CRD, right click the schedule you wish to apply the calendar to and select Properties.

2. Navigate to the Schedule tab and next to the Schedule time box, click the checkbox next to Exception calendar.

3. From the drop-down that displays, select the exception calendar you wish to use.

4. Click Apply then OK at the bottom of the Schedule Properties window. 

This schedule will now run using the specified intervals (Daily, Weekly, Monthly, etc.) except for on the dates listed in the exception calendar you chose. 

Note: Once the last date on the exception calendar has been reached, CRD will execute this schedule at the currently set intervals, without exception.

 

Import, Export, and Delete

CRD allows you the ability to import and export previously created calendars. This is useful if you have multiple instances of CRD and need the same custom calendars on each of them. To import or export a calendar, simply select it from the list and click Import or Export. Then, choose the location you wish to export to or import from.

To delete a custom calendar, simply click it from the list to highlight it and select Delete. When asked to confirm, click Yes.

Note: If the custom calendar is currently being used by a schedule, CRD will throw an error message advising you that this custom calendar cannot be deleted because it is being used by the schedules listed. To proceed with removing this custom calendar, you will need to set the listed schedules to use a different custom calendar or to use the standard intervals for CRD (daily, weekly, etc.).
