The CRD Address book can be used to set up contacts and group contacts for use in schedules that have an email destination. 

To Access the Address Book, go to the Home tab on the CRD Ribbon and select Address Book.

Add a New Contact

To add a new contact in CRD, perform the following:

1. Click New Contact in the upper left-hand corner of the address book window.

2. Enter the appropriate contact details. Then, click OK.

Note: The contact name and email address are required.The phone and fax number fields are optional.

You should now see the contact listed in the far left column, and the contact's details in the far right column.

Add a New Group

Groups in CRD are used when you want to send the same email to multiple users at the same time. To add a new group in CRD, perform the following:

1. Click New Group in the upper left-hand corner of the address book window.

2. Enter the name you will use to identify this Group.

3. In the Add Contact field, use the arrow to the far right to select a contact name from the drop-down list. Then, click the green down arrow to add this contact to the group. 

Note: You can also begin typing the contact name into the Add Contact field, and it should auto-populate. Alternatively, you can simply enter in an email address to add the group. However, if this email address changes, you will have to manually change it in each group it is a part of.

4. Once you have entered every contact you wish to add to the group, click OK.

 

Modifying Contacts and Groups

You can Switch between your groups and contacts by using the tabs on the right.

Delete a Contact or Group

To delete a contact or group, perform the following steps: 

1. Select the appropriate tab on the right (as mentioned above).

2. Click the user or group you wish to delete. This will select the entry, and it should be highlighted.

3. Click Delete

4. On the pop-up box that appears, click Yes.

Note: Deleting a contact from the Address Book will remove this contact from all groups they are a part of. It will also delete the contact from any schedules they may currently be listed as recipients on. Prior to deleting the contact, CRD will display the list of schedules this contact is tied to. If the contact is not tied to any schedules, you will only see the pop-up displayed below.

This contact will no longer display in the Address Book.

 

Edit a Contact or Group

To edit a contact or group, perform the following steps:

1. Select the appropriate tab on the right (as mentioned above).

2. Click the user or group you wish to edit. This will select the entry, and it should be highlighted.

3. Click Edit. This will bring up a pop-up box where you can modify the contact details.

Note: Double-clicking the contact or group will also pull up this same pop-up box.

4. When you are finished editing, click OK.

5. You will receive a pop-up box notifying you that the contact details (and any schedules using this contact) have been updated. Click OK.

The contact is now updated with the information you entered.

 

Import or Export Address Book

CRD allows you the ability to import and export your address book. This could be useful if your organization uses MAPI and an Exchange server to send and receive mail because you can then import your address book from the Exchange server to CRD.

Additionally, if you have multiple instances of CRD and different address books on each one, you can use the export/import buttons to keep the address book uniform on each one.

Note: CRD does not communicate with the Exchange server. Any changes made to the address book on your Exchange server will not reflect in CRD's address book unless you perform an export/import again and import those changes.

To export or import the address book in CRD, simply click the Import or Export buttons, select the location you wish to import or export to, and click OK.
